The right competencies for every role, assigned automatically

Every role in your organisation needs its own set of competencies. In Compassly, each person's job description assigns that set automatically from where they work and what they do, so everyone has what their role requires from day one, their set stays current as roles change and anyone without a job description is easy to spot.

Set once, assigned every time

Your organisation sets out once which competencies each role needs, and Compassly applies it every time. When a Manager adds a job description for someone, they choose where the person works, and Compassly suggests the services and roles found there, highlighting the roles your organisation has linked to that person's profession, so setting someone up is quick and accurate. Compassly then adds the matching competencies to the person's lifelong learning passport.

Two people in the same role and the same place get the same core set every time, whether that is a new midwife on the labour ward or a staff nurse on a medical ward. That consistency is what gives you confidence that everyone has what their role requires.

Because a job description records where someone works and what they do, Compassly also uses it to place them in the right teams automatically, so their supervisors can see and support them from the start. Our page on teams and organisation structure explains how.

Flexible where it matters

Not everyone in a role needs exactly the same competencies, so each role's set has core competencies, which are always included, and optional ones the Manager can add or leave out. Your organisation maintains one set per role rather than near copies for every variation, while each job description still fits the person it belongs to.

Competencies are grouped into packages, each linked to the locations, services and roles it applies to, and your organisation decides how each package is offered: to everyone who matches, included by default, or left for Managers to add where it applies. Your organisation sets the approved options centrally and Managers make the local choice within them, which helps when only some of a team need a set of competencies, such as blood transfusion for the staff who give it.

Existing work always counts

Many people need competencies from more than one role's set. When the same competency appears in several, it shows once, and it is included if it is core in any of them, so each person has one clear list.

Competencies the person already holds are listed first, and Compassly links their existing record to the new job description, so their progress carries over and their time goes on what is new to them.

Keeps up as roles change

People can hold more than one job description at once, for example across two services, and each can be named to match their actual role, such as District Nursing Lead (Nights), so everyone can see at a glance what each one covers. As someone's responsibilities change, Managers can change the optional packages on their job description, and archive it when it no longer applies.

When your organisation updates the set for a role, Compassly brings every job description built from it up to date, for existing staff as well as new starters. New core competencies are added and existing progress is kept, while a competency removed from the set comes off the job description but stays in the person's passport. New guidance reaches everyone it applies to in one go, such as new falls prevention competencies across every relevant team.

Everyone accounted for

A job description is what assigns a person's competencies and places them under the right management. Some people deliberately don't have one, such as those in admin or reporting roles, so the Dashboard shows everyone in your organisation without an active job description and Compassly asks a Manager to confirm before adding someone without one. Gaps are always visible, and every exception is a deliberate choice.
