Still running preceptorship on spreadsheets?

Preceptorship software that keeps every new registrant on track

Good preceptorship gives every newly registered practitioner support from a preceptor from the start, a clear timeline of milestones and a record of what they have achieved. Compassly brings your preceptorship programme into one app, so preceptees, preceptors and Programme Leads all work from one live record.

Your programme, built your way

Every organisation's preceptorship is shaped by a combination of national frameworks and its own local needs, and keeping track of it all across booklets and spreadsheets is a big job. Compassly supports the national preceptorship frameworks, for example with the core meetings set up as milestones, while you deliver your programme in your own local way.

Preceptorship runs to a timeline: a sequence of meetings, reviews and events at set points from each person's start. Compassly is built around that timeline. You set up your programme as a series of milestones, each with its own stages, questions and evidence, and every deadline runs from each preceptee's own start date, so Compassly tracks where everyone should be, whenever they join.

Programmes work across professions. You can run a separate programme for each staff group, such as Nursing, Midwifery or AHPs, or one shared programme, with common elements written once and reused. When your programme changes, you can update a single milestone without disturbing the rest, for preceptees already in progress as well as new joiners.

Compassly customers can use the same Programmes module for other programmes of development too, such as local induction, return to practice and clinical supervision, included in their licence.

Every milestone in view

Preceptees start and finish at different times through the year, so keeping on top of every intake from individual booklets is a real challenge. Compassly groups preceptees into cohorts, each with its own name and colour, so you can see who started together and how each cohort is progressing against its timeline, milestone by milestone.

Dashboards show which records are due soon or late, and managers see programme progress for the preceptees in their own teams. When a cohort has finished, it can be closed or made inactive, so dashboard totals stay focused on current preceptees while every record is kept.

Compassly also removes the need for chasing. Each milestone sends one reminder when it is due soon and another if it becomes late, to the preceptee, their preceptors and the Programme Leads, in the app, by push or by email. Each person chooses what they receive in their notification settings.

A preceptor from the start

Every preceptee needs a preceptor who is ready for the role. Each programme can have named Programme Leads, who keep the list of approved preceptors, and only approved preceptors can be assigned to support a preceptee. Preceptor-to-preceptee ratios can be monitored and controlled in the app.

Job shares and cover arrangements work too, because a preceptee can have more than one preceptor where needed. The programme dashboard highlights any preceptee who does not yet have a preceptor, and if a preceptor is away or moves on, a lead can assign someone else from the approved list in moments.

Every preceptor assignment is tracked for a full audit trail. Preceptors receive notifications only about the preceptees assigned to them, which keeps their updates relevant and each preceptee's progress confidential.

Completion you can evidence

At the end of preceptorship, you need to show that each person has completed it properly. Milestones and programmes can be signed off automatically once everything is complete, or by a Programme Lead, whichever your programme calls for, and Compassly records who signed off and when. Where work was finished before it was approved, the record shows the date it was actually completed.

Progress made elsewhere. Preceptees who started on paper don't have to repeat what they have already done, because a Programme Lead can record a milestone as already achieved, where the programme is set up to allow it. Leads can photograph existing paper preceptorship records in the app, or attach records that have already been scanned, so the evidence stays with the milestone.

Clear records of the exceptions. Milestone deadlines can be adjusted when someone needs more time, and a milestone can be marked as not completed with a reason, for example during a period of absence. Your organisation chooses who can do this, and some stages can be kept for Programme Leads only.

Every sign-off, preceptor assignment and cohort change is logged, so you have a clear audit trail whenever you need to show how preceptorship is running. Programme and cohort data is in the web reporting dashboards too.

Alongside their competencies

Preceptorship and competencies go hand in hand in a new registrant's first year. Where an organisation uses Compassly for both, each preceptee sees their programme on their own record next to the competencies for their role, and their preceptors and managers see the full picture in one place, with one login and one record for each person. Completed programmes travel with each person's lifelong learning passport, just as competencies do.

Programmes is included with every Compassly competencies licence, and preceptorship is also available on its own. Compassly is used by over 20,000 clinical staff across the UK, with straightforward NHS procurement through the government's G-Cloud 15 framework.
