Getting started

Getting started with Compassly, with our team alongside you

Moving competencies and preceptorship from paper into Compassly is a real step forward for your staff, so we plan it with you as a team effort. We load your content, help you shape it, and stay with you through launch and beyond.

How we work with you

We've done this before

We bring what we've learned from every Compassly roll-out, so your practice development team never starts from a blank page.

A team effort

We work closely alongside your practice development team, from the first meeting to launch and beyond.

Built on what you have

We work with your existing material and help you adapt it, so you make the most of the opportunities that going digital with Compassly brings.

Your organisation, your plan

We shape the plan around how you need the roll-out to work, and adjust it as you go.

Four stages, start to finish

A typical implementation follows the lifecycle below, and we adapt the roll-out to whatever your organisation needs.

Roll-out normally runs as a series of smaller implementation phases, each one building on the last.

  1. 1

    Prepare

We bring your practice development team together, gather your competencies and organisation structure, and agree the communications and roll-out plans with you.

    Effort for your teams
  2. 2

    Set up

We load your content into Compassly, and your team tries it out before it reaches staff.

    Effort for your teams
  3. 3

    Roll out

Compassly goes live across your organisation, with reporting built into the oversight you already have.

  4. 4

    Review and improve

We keep finding ways for you to get even more from Compassly, and stay in touch for the long term.

    Effort for your teams
Project management, throughout. A regular project rhythm keeps everyone informed and moving forward together. We usually suggest a weekly check-in for the core team and a fortnightly or monthly meeting for the wider team, adjusted to suit you.

Getting your content ready

Every implementation draws on the same core information, and we provide templates for each part:

  • Your locations, services and roles, from org charts, service directories or even phone lists, so the scope is clear and everyone is included
  • Your competencies and preceptorship materials as they are, with any reference material and third-party libraries you use
  • Which competencies each role needs, so job descriptions can assign the right ones to each person automatically

Where something doesn't exist yet, such as an agreed renewal route, we help you design it. Content usually sets the pace of an implementation, so we start on it early.

We load your competencies

Send us your competency documents as they are, in Word or PDF. We use AI to help convert them into Compassly, then check every one with you before it goes live. National passports already in Compassly, such as the UKONS SACT Competency Passport, sit alongside your own competencies.

Going digital opens up far more than a paper form can offer. We work through your content with you, suggesting where multiple choice questions can mark themselves, where answer guides help supervisors assess consistently, where policies and reference material sit right alongside each stage, and how renewal routes keep skills in date. You decide what changes, and it stays your content.

We'd suggest a target period for reviewing content before launch. Your library is always live in Compassly, so competency authors can keep improving it after launch and every published change reaches staff straight away.

Try it before launch

Every customer gets a test organisation set up with their own competencies. Your team can run through assessments without touching real records or reports, demo Compassly to colleagues and use it as a training environment.

We refine the configuration together, so everything is ready for your staff on day one.

Choosing how to roll out

Recommended

Phased

Start small with enthusiastic teams, then grow. It takes a little longer, but you learn and build momentum as you go, and it is what most organisations choose.

Grouped

Similar-sized groups in turn, such as by site or division. It works best with a clear plan and scope.

All at once

Every area together, sometimes called a big bang. It can be quicker and suits smaller organisations, while larger organisations need very careful, detailed planning to roll out this way.

How a phased roll-out builds

A phased roll-out usually starts with three to five fairly typical clinical areas, so the lessons apply widely. We'd suggest calling this a first stage rather than a pilot, so expectations stay clear. Every roll-out has a tail of later areas, and we plan for those from the start.

First stageA few areas with enthusiastic teams and fairly straightforward competencies, with some variety, such as medical and surgical
Next phaseMore areas, mostly enthusiasts with some sceptics, and a few more complex setups
Main phaseThe rest of the organisation, with any mix of teams
The tailLater areas brought on board over time, with any true exceptions documented

Training that sticks

The best training gives your own teams the confidence to use Compassly fully and to teach others, so that is what we build towards. Every training plan is tailored to your organisation.

We run the first training sessions, then a train-the-trainer session for the practice educators and clinical leads who will train their colleagues. From there your trainers lead, and they can always come to our team for support. During roll-out, regular drop-in sessions are open to anyone who wants help.

We're always improving Compassly and adding new features, so alongside a short getting started guide we point staff to our online help centre, which always covers the latest version.

For launch, we provide template posters, videos and presentations, and help you adapt them to your organisation's own style.

Part of business as usual

We help build Compassly's reporting into the meetings you already hold, from a summary for your executive team to detailed reviews in divisional leadership meetings, so it becomes part of how your organisation is run.

Some organisations also link it to processes such as ward accreditation, so expectations are clear for every team.

Getting more from Compassly

After launch, we keep looking for ways to add value for you: other teams who want to adopt Compassly, features that could help, and ideas to shape future features together. We can also help your teams share their successes, through good news stories, quality improvement projects, posters and award entries.

We check in every three to six months, share upcoming features for your feedback before we build them, and offer optional sessions on new features. Updates to your content are part of your licence, so your competencies keep pace with practice.
