How do I become a Super Manager?
Super Manager is a senior access level within an organisation on Compassly. A Super Manager decides who else can assess and manage, so the role carries real responsibility. This page explains what a Super Manager does and how to change who holds the role, for Compassly customers and for organisations using the UKONS SACT Competency Passport or the BOPA SACT Verification Passport.
In short: for organisations with a Compassly licence, your local Admins can give someone Super Manager access. For the UKONS and BOPA passports, only the Compassly team can, and only when the appropriate, duly authorised person in your organisation asks us in writing. If you need Assessor or Manager access instead, that is for your Super Manager to give you directly.
What a Super Manager can do
A Super Manager can do everything a Manager can, including supervising colleagues and adding new people to the organisation. On top of that, a Super Manager decides who else in the organisation has supervisor responsibilities, by giving or changing Assessor and Manager access. Deciding who holds those responsibilities is the key difference between a Manager and a Super Manager.
By default, a Super Manager can also:
- Allow one further try when someone fails the final attempt at a set of questions, before they are formally failed. This is a deliberate last resort, which is why it sits only with Super Managers.
- See when and by whom someone was added to the organisation, the email address they use there and their recent logins.
- Add people to teams by hand, for example giving a colleague Observer access to another team.
Organisations with a Compassly licence also have an Admin level above Super Manager, which runs the organisation's setup. Our guide to access levels in Compassly describes the default access levels in more detail.
Do I need to be a Super Manager?
Often not. Managers can supervise colleagues and add new people to the organisation, so most day-to-day supervision doesn't need Super Manager access. You only need it if you are responsible for deciding who else can assess or manage.
If you need Assessor or Manager access, ask a Super Manager in your organisation. For governance reasons, the Compassly team doesn't decide who can assess or supervise at each organisation; that decision belongs to the appropriate, duly authorised person in your organisation.
Your current access level is shown on your profile in the app, so it's easy to check. If you want to supervise someone outside your own team, you can scan their QR code and bookmark them, or a Super Manager can give you Observer access to their team. Our guides on working with teams and creating teams explain both.
Compassly customers
Organisations with a Compassly licence have far more flexibility and control over access levels. You decide how many Super Managers you need, set your own rules for who holds each level, and choose what each role can do, for example keeping certain actions for Super Managers only.
Most organisations have local Admins who make these decisions day to day, so changes don't need to come through us. Your Compassly team is always happy to help if you'd like advice on setting up access levels that fit the way your organisation works.
UKONS and BOPA passports: changing or adding a Super Manager
- Make sure the person is set up. They need to have registered on Compassly and been added to your organisation, which any Manager can do.
- The current Super Manager contacts us. Contact your Compassly support team through your usual email address, from a work email address that is already part of your organisation in Compassly. Copy in the person who should have the access, and include the organisation's name and who should become Super Manager.
- We make the change. The new access appears the next time the person logs in to Compassly.
Why we ask for this in writing. Super Manager access gives a lot of control over an organisation's staff records, so we only change it at the organisation's request. A written request from a work email gives a clear audit trail of who asked for the change and when, which protects everyone involved.
If your current Super Manager has left or is away. A senior colleague, such as a matron, head of nursing, lead pharmacist or service lead, can confirm the change on the organisation's behalf by contacting us from their work email. Where we are removing an existing Super Manager's access, we let them know and give them a chance to respond first.
When a Super Manager is leaving. Once the new Super Manager is in place, what happens to the previous Super Manager's account is their decision. They can archive the person's job descriptions and then remove them from the organisation. The Compassly team doesn't remove people from organisations. The person's passport stays with them, so their completed competencies go with them to their next organisation.
UKONS SACT Competency Passport
- Organisations can have more than one Super Manager. We do recommend keeping the role to the people who need it: Super Manager actions can have a big effect on staff records, and Compassly logs a lot but not everything, so a small group makes it much easier to know who did what.
- To add more Super Managers, the current Super Manager contacts us with the names and work email addresses of everyone who should have the access.
- Each organisation has one setup on Compassly, and its first Super Manager is set up at the same time, typically the senior person who requested it. Different hospital sites or units within the organisation can be set up as separate areas, which the current Super Manager needs to confirm.
- When the role is handed over, the previous Super Manager can stay on as a Manager until the new Super Manager decides otherwise.
BOPA SACT Verification Passport
- BOPA policy is that each organisation has one Super Manager, so changing the Super Manager means switching the role from one person to another. The previous Super Manager usually becomes a Manager, which can be changed back if they return.
- To switch, the current Super Manager contacts us with the organisation's name and the name of the person taking over, copying that person in.
- BOPA requires the Super Manager to be a paid member of BOPA. This is audited, and requesting Super Manager access for someone who isn't a paid member may lead to the organisation losing access. BOPA's full guidance is in the members' section of the BOPA website.
- The Compassly team makes the change in the system, but all clinical and operational questions about the passport go to BOPA.
Moving to a new organisation
Your passport moves with you, so the competencies you have completed come with you automatically. Access levels belong to each organisation, though, so Super Manager access doesn't move with you. At your new organisation, the change is requested in the same way as above.
Questions we're often asked
Can I make myself a Super Manager?
No. For the UKONS and BOPA passports, only the Compassly team can give Super Manager access, at your organisation's written request. For Compassly customers, your local Admins decide.
My manager tried to change my access level but couldn't. Why?
They are most likely a Manager rather than a Super Manager. Managers can add new people, but only a Super Manager can change someone's access level once they are in the organisation.
Can you make me an Assessor or a Manager?
That is for a Super Manager in your organisation to do. We don't decide who can assess or supervise at each organisation.
I've been made a Super Manager but can't use the new options.
You may already see the Super Manager badge on your profile, but the permissions only start working after you log in again. Log out of Compassly fully (if you aren't already logged out) and log back in.
Can we have more than one Super Manager?
For the UKONS SACT Competency Passport and Compassly customers, yes, although we recommend keeping the role to the people who need it. For the BOPA SACT Verification Passport, BOPA policy is one Super Manager per organisation.
We operate as two different sites within one organisation. Can you set us up separately with our own Super Manager?
No. Compassly works on a single-organisation basis, so each organisation has one setup. Different sites can be set up as separate areas within it.
Can we have our own Admin for a UKONS or BOPA organisation?
No. The Admin level is restricted to Compassly customers, as it also gives access to features that aren't available outside a Compassly licence. We may be able to include it as part of a specific setup for premium features.
I don't know who our Super Manager is.
Ask colleagues who use Compassly in your organisation first. If nobody knows, contact your Compassly support team through your usual email address and we can tell you who holds the role. You'll need to contact us from an email address that is already part of your organisation in Compassly, ideally a work rather than personal address, otherwise we may need to take some extra verification steps.
Our organisation is already registered, but I've just filled in the registration form.
Each organisation is set up once. We'll point you to your current Super Manager, who can add you or ask us to change the Super Manager.
